Bills are the invoices your vendors send you. Record them in Invoiless to see what's due, record your payments, and keep your expenses up to date.
Add a bill
- Go to your "Bills" page and click New bill.
- Pick the Vendor. To add a new one, click New vendor.
- Fill in the Bill number, Payment method, Bill date and Due date.
- Pick a Category, and add a Reference if you need one.
- Enter the Amount, taxes included. To show the taxes it contains, click Add tax.
- Click New bill.
💡 When you pick a vendor, Invoiless uses the vendor's currency and sets the due date from their payment terms. You can change both. For a bill in another currency, check the Exchange rate and change it to the rate you paid if needed.
Open a bill
A new bill starts as a Draft. Once you've checked the details:
- Open the bill.
- Click Open bill, then confirm with Open bill.
The bill is now Open and waiting for payment. If it isn't paid by its due date, it shows as overdue.
Record a payment
Invoiless doesn't send any money. Record the payment once you've paid the vendor.
- Open the bill.
- In Manage payments, click Record payment.
- Enter the Amount, Payment method and Payment date.
- Click Record payment.
When nothing is left to pay, the bill is marked Paid. A payment on a draft bill opens it automatically. Each payment is also added to your expense transactions.
Record a refund
If the vendor sends money back:
- Open the bill.
- In Manage payments, click Record refund.
- Pick the Payment, then enter the Amount, Reason and Refund date.
- Click Record refund.
The refund is taken out of your expenses, and the bill goes back to Open if there's something left to pay again.
💡 You can also attach the vendor's PDF to a bill in Attach files. See Attachments.
Enjoy 🧡
